Direct answer
A rent receipt records that a named tenant paid a stated sum, for a stated property, covering a stated period. Those four things are the whole job. Most receipts issued in Nigeria carry the first three and leave out the period, which is the one that decides arguments a year later. Below is what a receipt should contain, wording you can copy, and how to handle the advance-rent case that trips people up.
The receipt is worth more to you than to the tenant
Landlords tend to treat the receipt as a courtesy. The tenant asked for something, you wrote it, they filed it. That reading is backwards, because the tenant is the one who ends up holding the better record.
When a payment is disputed, the question is never whether money moved. It is which period the money covered. The tenant produces a receipt with a date on it. If your own record is a bank alert and a WhatsApp thread, you are arguing from memory against a document, and the document wins.
This is the same problem a court-ready rent statement solves at the portfolio level, and the receipt is where it starts. A statement is only as good as the individual entries behind it, and an entry nobody receipted properly is an entry you cannot source.
What a rent receipt must contain
Nine fields. A receipt missing any of the first six is weak evidence, and one missing the period covered is close to worthless in the only situation you will ever need it.
In Lagos, where the Tenancy Law 2011 applies, the receipt is a legal requirement, not just good practice. It must state the date the rent was received, the names and addresses of the landlord and the tenant, a description and location of the premises, the amount, and the period it covers. Failing to issue one carries a fine of N100,000. A bank transfer record alone does not show those particulars.
State the period in full, with both dates. Rent paid on 5 January is not the same claim as rent for 1 January to 31 December, and only the second one answers the question that gets asked.
- Who issued it: your name and address, or the company or agency name and address if you collect through one
- Who paid: the tenant's full name, spelled as it appears on the tenancy agreement, and their address
- The property: the full address, including flat or unit number
- The amount received, in figures
- The period the payment covers, with a start date and an end date
- The date the payment was received, which is often not the date on the receipt
- How it was paid: bank transfer, cash, cheque, or POS
- A receipt number, unique and sequential
- Your signature, and your capacity if you are signing as an agent rather than the landlord
A rent receipt template you can copy
This is a plain version that works for a residential tenancy. Adapt the wording, keep the fields.
RENT RECEIPT. Receipt No: [number]. Date: [date the receipt is issued]. Received from [tenant's full name], of [tenant's address], the sum of [amount in figures] being rent for the property at [full address], for the period [start date] to [end date]. Payment received on [date received] by [bank transfer / cash / cheque / POS]. Issued by [your name or company name], of [your address]. Signature: ______________ [and capacity, for example: for and on behalf of [landlord's name], as managing agent].
Two notes on that last line. If you collect on a landlord's behalf, say so on the receipt rather than signing as though the money were yours, because the receipt is evidence of who received the money in what capacity. And if the payment is a part payment rather than the full rent, write PART PAYMENT on the face of it and state the balance outstanding, or you have just issued a document the tenant can reasonably read as settling the term.
Receipt numbers, and why the carbon booklet runs out of road
The numbering is not bureaucracy. It is what lets you prove a receipt is one of a series rather than something produced after the argument started, and it is what makes a missing payment visible as a gap.
A carbon-copy booklet does this well enough for one landlord with three units. It stops working at the point where more than one person issues receipts, because there is one physical book and it is wherever the person carrying it happens to be. It also fails the day the book is lost, since the duplicate half is the only copy of the record you kept.
Any consistent scheme works. Sequential by property, or a date-stamped number such as RCT-20260105-0042, both make a gap obvious. What does not work is starting again from 001 each year across several properties, because two different receipts then carry the same number.
- Number every receipt, including the ones for part payments
- Never reuse a number, even for a receipt you cancelled
- If you void one, keep the voided copy rather than tearing it out
- Keep your copy, not just the tenant's, and keep it somewhere that survives a lost bag
- One scheme across the whole portfolio, not one per building
Receipting one or two years paid in advance
This is where most Nigerian rent receipts go wrong, because the norm here is a single large payment covering a long period rather than a monthly cycle.
One payment gets one receipt. If a tenant pays N2.4m covering 1 February 2026 to 31 January 2028, that is a single receipt for N2.4m with the period stated as those two dates. Do not issue twenty-four monthly receipts against one payment. It creates twenty-four documents that each look like a separate transaction, and it is the fastest way to end up unable to reconcile your own file.
Itemise anything that is not rent. A tenant handing over one transfer that covers rent, service charge, and a caution fee should get those broken out on the receipt with the rent period attached to the rent line only. A caution or security deposit is refundable money you are holding, not income, and a receipt that folds it into the rent figure quietly misstates both what the tenant paid for and what you owe back at the end.
Whether two years upfront is something you should be asking for is a separate question, and there is a real legal dimension to it that we covered on its own. The receipting practice here applies either way.
- One payment, one receipt, with the full period stated
- Never split a single payment into monthly receipts
- Break out service charge, caution fee, and agency fee as separate lines
- Attach the period to the rent line, not to the deposit
- Say plainly on the receipt that a caution fee is refundable and held, not rent
What makes a receipt useless when it is finally questioned
Every item below is something that reads as a small shortcut on the day and as a hole in the record eighteen months later, when the tenancy has soured and somebody is reading the file closely.
The cash case deserves its own warning. A cash payment with no signed receipt is the one transaction where you have no independent trace at all, no bank record, nothing but two people's accounts. If you take cash, receipt it at the moment you take it.
- No period stated, so the receipt proves a payment but not what it settled
- A part payment issued on a receipt that looks like full settlement
- Figures altered on the face of the document instead of a fresh receipt being issued
- Cash taken with the receipt promised for later, and then not issued
- The address given as a building name only, with no flat or unit number
- An agent signing in their own name with no indication they collected for a landlord
- No copy retained, so the only version in existence is the tenant's
How Ledge handles receipts
We built a free rent receipt generator for the one-off case. It runs in the browser, needs no account, and produces a numbered PDF you can download or send to the tenant on WhatsApp. Nothing you type into it is stored. If you issue a handful of receipts a year, that is the whole answer and you can stop reading here.
Inside Ledge the receipt is a by-product rather than a task. The payment is recorded against the tenancy, the receipt is issued from that record, and the number comes from a sequence that runs across the portfolio rather than out of whichever booklet was to hand.
That is also what makes the rent statement work later. Every entry traces back to a receipt, the period on the receipt is the period on the statement, and a gap in the sequence is visible instead of being something you discover when a lawyer asks for it.
- Free generator at ledgeapp.co/tools for a one-off receipt, no account needed
- In-app receipts issued from the recorded payment, not retyped
- One numbering sequence across every property you manage
- Part payments marked as part payments, with the balance carried
- Receipts and the rent statement built from the same entries
Frequently asked questions
What should a rent receipt contain in Nigeria?
The issuer's name, the tenant's full name, the full property address including unit number, the amount in figures, the period the payment covers with both dates, the date received, the payment method, a unique receipt number, and a signature with your capacity if you are signing as an agent.
Is a landlord required to give a rent receipt?
A tenant who has paid is entitled to ask for evidence of it, and refusing to give one is a poor position to be in if the payment is later disputed. Issue it as a matter of course. If you want the position under your specific tenancy agreement or state tenancy law, ask your lawyer.
How do I write a receipt for two years rent paid in advance?
One receipt for the single amount received, with the period stated as the full range, for example 1 February 2026 to 31 January 2028. Do not issue monthly receipts against one payment. Break out any service charge or caution fee as separate lines.
How should rent receipts be numbered?
Any consistent scheme that makes a gap visible, such as sequential numbering per property or a date-stamped format like RCT-20260105-0042. Never reuse a number, keep voided receipts rather than removing them, and use one scheme across the whole portfolio.
What if the tenant only pays part of the rent?
Issue a receipt for the amount actually received, write PART PAYMENT on the face of it, and state the balance outstanding and the period it relates to. A receipt with no such marking can reasonably be read as settling the term.
