How do I record rent and issue rent receipts in Nigeria?

Short answer

Record every payment against the tenant, the unit and the period it covers on the day the money arrives, then give the tenant a dated, numbered receipt that says the same thing. The receipt is the tenant's proof and your record is yours, so the two must match. For a one-off receipt, use a free generator; for a building, software like Ledge keeps the record and issues the receipt from it.

The method

How to record a rent payment properly

  1. Confirm the money first

Check the bank alert against your statement, or count the cash. A receipt for money that has not arrived is a promise you cannot take back.

  2. Record it against the tenancy

Tenant, unit, amount, date received, method (transfer, cash, POS, cheque) and the bank reference.

  3. Say what period it covers

For example, rent for 1 March 2026 to 28 February 2027. With yearly rent, the period is the line people argue about later.

  4. Issue a numbered receipt

Number receipts in sequence so a missing one shows. Send it the same day, by email or WhatsApp.

  5. Keep both, where you can find them

If a tenancy ends up before a court, a payment history that matches the receipts is what you rely on.

With Ledge

What Ledge does, and what it leaves to you

Ledge does

  • Records payments received by bank transfer, cash, cheque, mobile money or other methods, against the tenant's lease.
  • Issues a numbered PDF receipt automatically when a charge is recorded as paid, and emails it to the tenant if you have their email address.
  • Prints the period covered on the receipt, worked out from the due date and the lease's rent frequency.
  • When online payments are on, issues the receipt as soon as Paystack confirms the payment.
  • Keeps every receipt and a downloadable statement in the tenant's portal.

You still

  • Confirm a transfer or cash payment yourself before you mark the charge paid.
  • Issue part-payment receipts another way. Ledge marks a charge part-paid but does not store the amount received, and only issues a receipt once the charge is paid in full. The free generator handles a part payment.

Questions

Frequently asked questions

Does a landlord have to give a rent receipt in Nigeria?
In Lagos, yes. The Tenancy Law of Lagos State 2011 requires a landlord to issue a receipt for rent paid, stating the date, the names of landlord and tenant, the premises, the amount and the period covered. Elsewhere, a receipt is still the standard proof of payment. Check the current law for your state.
Is a bank transfer receipt enough?
Usually not. A transfer record shows money moved, but not what it was for, which premises, or which period it covers. A rent receipt carries those details.
How do I issue a receipt for a part payment?
Write the amount actually received and state that it is part payment of the rent for the period, with the balance outstanding. Ledge's free rent receipt generator does this without an account.
Can Ledge send receipts automatically?
Yes. When you record a payment as paid, or a tenant pays online through Paystack, Ledge issues a numbered PDF receipt and emails it to the tenant. The tenant can also download it from their portal.
